How it Works

  • Initial Consultation and Assessment

    We begin with an introductory meeting to get to know each other, understand your business model, and discuss your specific bookkeeping and financial management needs. This step involves a detailed assessment of your current financial systems, bookkeeping practices, and any challenges you're facing.

  • Proposal and Agreement

    We provide a detailed proposal outlining the scope of services, deliverables, timelines, and pricing tailored to your business requirements. We discuss the proposal with you to ensure it meets your expectations and make any necessary adjustments.

  • Onboarding

    Once the proposal is finalized, we sign a service agreement that outlines the terms of our engagement, and confidentiality. We provide an overview of our bookkeeping processes, including how and when financial reports will be delivered, communication protocols, and how to submit documents and information to us.

  • Ongoing Support

    Following the onboarding, we establish regular check-ins to discuss your financials, any concerns, and adjustments to services as your business evolves. Our team remains available for any questions or additional support needed, ensuring a seamless and supportive partnership.

  • Transaction Categorization

    For monthly bookkeeping, your transactions are reviewed and categorized weekly—using data from your connected bank accounts in QuickBooks Online, along with any receipts you submit, either digitally through your custom email or physically if you're local. For on-demand services, this process happens daily. This ensures your books stay accurate and timely while details are still fresh.

  • Email Support

    We’ll stay in touch throughout the process, reaching out with any questions that arise as we work through your books. Our goal is to keep things clear, accurate, and aligned with how your business actually runs—so if something needs clarification, we’ll ask. And if you ever have a question of your own, don’t hesitate to email us. We’re just a message away with prompt, friendly support. Whether it’s a quick confirmation or a more detailed explanation, we’re here to make sure you always feel informed and confident in what’s happening behind the scenes.

  • Account Review & Reconciliation

    Bank and credit card accounts are reconciled monthly to ensure every transaction matches your records. On the 1st of each month, we’ll send a reminder email to submit any bank or credit card statements needed to complete and verify the reconciliation process. Many banks also allow you to set up a view-only user, which lets us access the statements directly—saving you time and keeping things moving smoothly.

  • Monthly Financial Reports

    Delivered by the 10th of each month—assuming all required documents and outstanding questions have been submitted—so you receive timely, accurate insights to guide your decisions with confidence. If you'd like to review the reports together, we’re happy to schedule a monthly meeting—but this is entirely optional, based on your preference.
